How MapGear handles your personal data and your rights under the GDPR

Introduction

We are aware that you place your trust in us. We therefore consider it our responsibility to protect your privacy. On this page we inform you about what data we collect when you use our website, why we collect this data and how we use it to improve your experience. This way you know exactly how we work.

This privacy policy applies to all websites, products and services of MapGear B.V. You should be aware that MapGear B.V. is not responsible for the privacy policy of other sites and sources. By using this website you indicate that you accept the privacy policy.

MapGear B.V. respects the privacy of all users of its site and ensures that the personal information you provide to us is treated confidentially.

What data we collect and what we use it for

MapGear collects personal data for various purposes. Below we explain per purpose which personal data we collect and what it is used for.

Use of our products

When you sign up for one of our products we ask you to provide personal data. Depending on the services used, the following data may be processed:

  • Name
  • Email address
  • Phone number
  • IP address
  • Internet browser and device type

The data provided is used for the correct operation of the product, to identify you within the product when login details are required and to provide support when you contact our service desk. In addition, this data may be used in anonymised form to improve our products or services.

Our products or services may request the following additional personal data: address details and location data. This additional personal data is only processed locally within the application to provide specific functions. This data is not transmitted to servers and is not stored centrally, unless specifically stated in the privacy terms of the relevant product or service.

Data that you provide for the use of our products is deleted from our systems at most 12 months after you cease this use.

Communication by phone, email or contact form

When you call us or contact us digitally by email or contact form, we use your data to facilitate this communication. We may store your messages (or notes of messages) and possibly forward them internally. Sometimes we ask you for personal data that is relevant to the situation. This allows us to process your questions and respond to your requests.

For email communication we may collect and store the following personal data: name, email address and phone number.

Data provided for communication is subject to the retention period stated under "Performance of a contract" if the questions are related to an (active) contract. If you are not a MapGear customer? Then data used for communication is kept for a maximum of 36 months.

Newsletter

If you use our products or services you can indicate whether you wish to be included in our mailing list for the newsletter. For managing this mailing list we use the following personal data: email address.

After unsubscribing from the newsletter, your data for the newsletter may be kept for a maximum of 12 months. After that, this data is automatically deleted from our systems.

Performance of a contract

If you become a customer with us we are required to process personal data for the performance of the contract. This may concern the following data: name, email address, phone number, address details and bank details (IBAN).

This data is kept for the duration of the contract. After termination of the contract it is kept for a maximum of 60 months or longer if the statutory retention period so requires.

Sharing personal data with third parties

MapGear does not sell your data to third parties and will only provide it if necessary for the performance of our contract with you or to comply with a legal obligation. With companies that process your data on our behalf we conclude a processor agreement to ensure the same level of security and confidentiality of your data. MapGear remains responsible for these processing operations.

If you contact us via the website we may decide to share your data with one of our partners. This data is limited to the data required to contact you to meet one of your requests.

Special and/or sensitive personal data we process

Our website and/or service is not intended to collect data about visitors under the age of 16, unless they have parental or guardian consent. However, we cannot verify whether a visitor is over 16. We therefore advise parents to be involved in their children's online activities to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a minor without that consent, please contact us at privacy@mapgear.nl and we will delete this information.

How long we keep personal data

MapGear does not keep your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We apply a retention period based on the use of the data. In the section above you will find the retention period of personal data per purpose.

Cookies, or similar technologies, that we use

MapGear uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you first visit this website. MapGear uses cookies with a purely technical function. These ensure that the website works properly and that your preference settings are remembered, for example. These cookies are also used to make the website work properly and to optimise it. In addition, we place cookies that track your browsing behaviour so that we can offer tailored content and advertisements. On your first visit to our website we have already informed you about these cookies and asked for your consent to place them. You can opt out of cookies by setting your internet browser so that it no longer stores cookies. You can also delete all information previously stored via your browser settings. Access, correct or delete your data

You have the right to access, correct or delete your personal data. You also have the right to withdraw any consent you have given for the processing of your data or to object to the processing of your personal data by MapGear and you have the right to data portability. This means that you can submit a request to us to send you the personal data we hold about you in a computer file. You can send a request for access, correction, deletion or withdrawal of your consent or objection to the processing of your personal data to privacy@mapgear.nl. To ensure that the request for access was made by you, we ask you to send a copy of your identity document with the request. In this copy, blacken your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within eight weeks.

MapGear would also like to point out that you have the option to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). How we secure personal data

MapGear takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. If you feel that your data is not properly secured or there are signs of misuse, please contact our customer service or via privacy@mapgear.nl. MapGear has taken the following measures to secure your personal data:

  • Security software, such as virus scanner and firewall.
  • TLS (formerly SSL): We send your data via a secure internet connection. You can see this from the "https" in the address bar and the padlock in the address bar.
  • DKIM, SPF and DMARC are three internet standards that we use to prevent you from receiving emails in our name that contain viruses, are spam or are intended to obtain personal (login) data.
  • DNSSEC is an extra security (in addition to DNS) for resolving a domain name to the associated IP address; it is provided with a digital signature. You can have this signature checked automatically. In this way we prevent you from being redirected to a false IP address.

Your acceptance of the privacy policy

By using one of our websites, products or services you agree to our privacy policy as described in this document. Your continued use of the site after changes to this policy are published will be considered as your acceptance of those changes.
